Running reports with a time function

I run daily demerit reports for the past day and must run them at the same time everyday to capture all students using the Overviews - Demerits - Recent - Past 24 hours. However, if I am late, I cannot use this function, having to go to 'Past 7 days' and delete many lines of data. E.g. I run the report at 3:30pm on a Tuesday but staff continue to add demerits after 3:30pm. If I run the a report, through Overviews, I have to run it at the same time everyday, to capture all demerits since 3:30pm the previous day. If I use the Export data reports, I have to run 2 days and delete the lines of data which would be shown from the previous day.

If there was an option within the Export data reports, i could run these reports for a specific time and not have to delete the lines of data already covered. This is also an issue when I come to run the report on a Monday as the 'Past 24 hours' would not cover post 3:30pm demerits added and so I have to run a past 7 days report or export data for the Friday to Monday, to capture all incident which have occurred.

    Thank you - after giving this some thought, I'm wondering if a 'daily report' might work better for you, where you set the cut-off time? Something like this perhaps?

    Sure Ben. I can manipulate the data more after the export. It takes longer, is more fiddly because of the extra filters I need to put on for each day, but sure Ben. I can add the filters.

    Super, thank you - I'm wondering in this case if we could update our "List of student demerits" export to allow you to filter between two dates AND time, perhaps that might do the trick?

    Adding a time to the overview may be a bit more tricky, but if you're already going into Excel and all you need is a time filter, I think this would work well. Would you be able to run that export and let us know if it contains everything you need?

    Hi ben,


    in answer to your questions:

    1. Yes, I do filter by house and happy to do this in Excel.

    2. I format the data in Excel, remove and hiding columns as needed and email out to them.

    3. Staff can see just their house only and can review and compare the data from the previous day. I'm not sure exactly what they do with the data, but I assume it allows staff to keep an eye on the repeat offenders, those who newly appear on the list, if a particular year group (or tutor group) need particular attention, etc.

    I know that the head of behaviour (Adrian Bennett) would like a report to see all points, positive and negative, for a student for a time frame, and have all the nice visuals to go with, but you would be better contacting him directly. I believe you have his contact information (bnt@pershore.worcs.sch.uk).

    Thank you, this makes perfect sense!

    We definately could look at the 'Yesterday' filter as a nice easy solution; as you say you'd need to generate this the next day though for it to be useful. We could also add a 'Today', but that would of course exclude any items added after the generation date.

    If neither of those are suitable as a solution, I've got a few more questions to try and figure out the best way forward:

    1. When you export the data, do you filter in any other way (e.g. by house)? Would it be acceptable for this stage to happen within Excel?

    2. How do you provide the data to the other members of staff (i.e. email or print outs)?

    3. Why do they find this 'better' than just logging in themselves to see the live data? Is there anything we could improve within the interface to help them, or does it need to be an export?

    Hi Ben,


    I run the report at 3:30pm. When I run the report the next day, and I run it at a time after this (3:40 for instance), there would be a 10 minute gap in the data collected. I have had to set a time I run the report, and have had to stick to it, so that I get accurate data. I don't need to exclude data added after 3:30 but it needs to be included in the next day's report. the Individual demerits export will export for the day, not the 24 hours. And does not solve the gap issue if reports are run at slightly different times. I can run a report for 'all demerits collected on Monday' the following day, but I cannot collect the data for the same day as demerits can continue to be added after I run the report.

    With a yesterday feature, I would still need to find the point when I have collected data up to, and delete any data after this. I do this on a Monday when I run the repot for the 7 days, then delete the data that I have already collected from the Friday and before.

    I know that our house teams appreciate having the data for the day at the end of the day, but I could talk to them about gathering data the following morning; it would just be less reactive to the behaviours of the students, having not had the overnight time to prepare.

    Hi there, thanks for the feedback!

    We're just looking at a few options and wanted to check we understood the requirements - we'd love to understand more about why its important to exclude the data added after 3:30pm?

    Our first thought would be that you could use the individual demerits export for a given day, which would give you a full 24 hour period, but you'd have to generate this the next day. We also thought about adding a "Yesterday" filter to the recent demerits in the overview, but again it would still be a 0:00 - 23:59 timeframe.
